    Export your users

    In the Microsoft 365 admin center, open Users → Active users, then Export users and save the CSV. You'll need an admin role that can manage users, such as User Administrator.

What it finds

Where the money is hiding.

License optimisation here means one specific thing: finding the licenses that overlap or duplicate each other. We do not use sign-in or usage data, so this is optimisation by entitlement, not usage-based right-sizing. The analysis is honest about which findings are a near-certain reclaim and which are only worth a review.

Reclaimable licenses

A capability the user already gets from another license they hold. Near-certain reclaim.

Privacy by design

Your users' identities never leave your browser.

Anonymisation happens on your device, before anything is sent for analysis. For each account we receive four things: a unique code in place of the sign-in name, the Microsoft product (license) names on the account, the account's sign-in status, and account-type labels worked out in your browser (for example service, shared or off-pattern). We never receive names or email addresses.

  • Each user's UPN becomes a unique code; every other identifying column is dropped.
  • You keep the map that turns codes back into names. We cannot, and never will.
  • Provable: disconnect your internet and the anonymise step still works.

Frequently asked

What data do you actually receive?

For each account, we receive four fields:

  1. A unique code in place of the sign-in name
  2. The Microsoft product (license) assigned to the account
  3. The account's sign-in status
  4. Account-type labels worked out in your browser (for example service, shared or off-pattern)

Names, email addresses and all other data are removed in your browser before anything is sent.

Do I need to install anything?

No, there is nothing to install. You simply export your "Active users" from the Microsoft 365 admin center and drop the file in. Your data is anonymised entirely offline, in your browser, and only the anonymised data is analysed by us, with your report returned promptly.

How are the savings calculated?

Each reclaimable license is valued at Microsoft list price in AUD to give an estimated annual saving/cost avoidance, and the full report lets you replace those with your own negotiated agreement rates, in whatever currency you use.

What is the map, and why do I keep it?

The map links each unique anonymised code back to the real user. It stays with you, so only you can return user names to the report. We never receive it and cannot recover it.

How long do you keep my file?

The anonymised file is held only long enough to build your report, about 30 minutes maximum, then deleted. For a paid report whose file contains license names we do not yet recognise, the anonymised file is kept for up to 14 days so the corrected report can be re-downloaded free once we have verified and updated them. As no names or email addresses from your file are ever shared, this data is never stored.

What do I get in my full report?

Every full report includes every reclaimable license we find and licenses that may warrant your further review for additional optimisation opportunities: a full review of each license per account, every price editable and recalculable in whatever currency you use, and a full explanation of each opportunity.
